How to allocate epoints to departments

1. Select “Departments” in the “Recognise” section

The simplest way to do this is from the Recognition Manager overview screen (the first screen when you log in). You simply need to click “Departments” (1) which appears in the section titled “Recognise”. You can also access this using the menu on the left-hand side. Click on “Recognise” (2) and a menu will drop down. From here, you just need to select “Departments” (3).

2. Allocate epoints to departments

You are now able to allocate epoints to departments as required. At the top of the screen, you will find the total epoints you have available to allocate (1).

To allocate to a specific department, select the “Allocate” (2) button on the chosen department’s row. This will open a text box (3) where you can enter how many epoints you wish to allocate to this department. If you select the wrong department, click “Cancel” (4) which will remove them from the allocation.

You should add a reason (5) for allocation so that the department head is aware of the purpose of this allocation. Finally, you will see a summary of your allocation activity at the bottom of your screen (6), indicating epoints quantity and £ value you are giving out. Once you’ve reviewed this and are happy, press “Save” (7).

A pop-up will require you to confirm your points allocation. Once confirmed, the page will refresh and a message stating “Your points have been allocated” will appear in the top right-hand corner. The department head will also receive an email informing them that points have been allocated to their department.

  • If you’ve allocated more points than you have available, the summary text (6) will turn red and you will be unable to click “Save” (7) until you have remedied this.

3. View previous epoints allocations (optional)

If you wish to view the history of epoints allocations within your company, select “Departments” (2) under “History” (1) from either the Recognition Manager overview screen or the left-hand side menu. There is also a “History” button in the top right-hand corner on the department epoints allocation screens.

This will load a screen showing the total number of allocations made, the total quantity of epoints that have been given and the value of these epoints. You will also find a table detailing each individual allocation, who it was sent from and to, the reason for the allocation as well as the quantity and value of epoints awarded.

You can also filter these results using the search options (3). Here you can search for allocations made between specific dates, for allocations sent with a specific points quantity or points value or reason, by sender or recipient department. If you make a mistake at any point, start over by clicking “Clear”. Once you’ve set your criteria, click “Search” and the overall figures at the top of the page as well as the listed results below will refresh to show only results matching your criteria.
